Privacy Notice

Caleb University, Imota, Lagos State, collects and uses personal information about applicants, students, staff and visitors. This notice explains what we collect, why, who sees it, and what you can ask us to do about it. It is written to meet our obligations under the Nigeria Data Protection Act 2023.
Who is responsible
Caleb University is the data controller. Questions about this notice, or about your own information, should go to the University's Data Protection Officer at dpo@calebuniversity.edu.ng.
What we collect, and why
Applicants and admitted candidates
When you are admitted through JAMB we receive your registration number, name, gender, age, state of origin, local government area and the course you were offered. When you claim your record on our admission portal we ask you to upload a photograph or scan of your O'level result, and we keep a contact telephone number or email address if you give us one. We use this to confirm you are who you say you are, to check that you meet the entry requirements, and to create your student record.
Students
Once you are admitted we hold your matric number, programme, level, entry mode, your University email address, your clearance record across the eight units, and — for JUPEB students — your subject combination, internal assessment marks and the results issued by the JUPEB examination board. Your academic records, fees, accommodation and library use are held by the relevant offices for as long as you are a student and afterwards as part of your permanent academic record.
Everyone who uses our website
Our servers keep ordinary access logs, including the internet address you connect from and the pages you request, which we use to keep the site working and secure.
Who we share it with
We do not sell personal information and we do not share it for advertising.
- Microsoft. Your University email account is created in Microsoft 365. Your name, University email address and matric number are sent to Microsoft in order to create and licence it.
- Regulators and examination bodies. JAMB, the National Universities Commission and the JUPEB examination board, where we are required or permitted to do so.
- Within the University. Only the offices that need it — Admissions, Registry, the Bursary, ICT, the Library, the Health Centre, your College, Student Affairs and Counselling — and only for the part of your record that concerns them.
- Anyone you show a clearance form to. A clearance form carries a code which, when scanned, shows that student's clearance position. It does not reveal marks, fees or health information.
Where it is kept, and for how long
Your records are held on University systems in Nigeria and, for email, in Microsoft's cloud. Uploaded result scans are stored outside the public area of our website and can only be opened by staff whose role permits it; every time a member of staff opens one, that is recorded.
Application records for candidates who do not take up a place are kept for five years. Student academic records are kept permanently, as universities are required to do. Access logs are kept for twelve months.
Your rights
You may ask us for a copy of the information we hold about you, ask us to correct anything that is wrong, ask us to delete information we no longer need, or object to a particular use. Write to the Data Protection Officer at the address above. We will answer within thirty days. If you are not satisfied you may complain to the Nigeria Data Protection Commission.
Keeping it safe
Access to student records requires a University account and is limited by role. Connections to our systems are encrypted. Result scans and unit signatures are held outside the public web folder and served only through permission-checked routes. We review these arrangements regularly.
Changes
If we change how we use personal information we will update this notice and publish the date it was last reviewed at the top of the page.
